Solutions

Solutions is a new area of Coevera that shows a complete working set-up — processes, forms, sequences, templates, reports, fields, and entities — as one connected, visual picture. Each Solution is a named, goal-driven package.

Overview

Solutions is a new area of the CRM that shows a complete working set-up — processes, forms, sequences, templates, reports, fields, and entities — as one connected, visual picture. Each Solution is a named, goal-driven package, such as New Client Onboarding or Lead Nurture Campaign, displayed on a live canvas where every part of the set-up appears as a node and every real dependency between those parts appears as a connection.

A Solution can be built from a pre-built template through a guided setup, from scratch on an empty canvas, or by copying an existing Solution. Once it exists, it stays in sync with the system: the canvas is re-scanned against the live configuration, node health is shown on each card, and statistics and activity logs from all participating tools are available in one place.

Availability and Access

  • Solutions is a new item in the Automation Hub and is active by default. The item’s details sidebar describes what Solutions does.

  • Turning the item off hides Solutions from the menus.

  • When another feature is switched off in the Automation Hub, its nodes and their direct connections are hidden on the canvas, while dependent nodes stay visible so the leftovers can be cleaned up.

Main menu

  • A new Solutions item appears in the CRM main menu.

  • The + (Plus) menu gains a New Solution item, which opens the new Solution dialogue.

User Roles

  • A Solutions switch in the User Role allows or denies access to Solutions and controls the related menu items.

  • A separate Solution Manager option grants edit rights; without it, the user sees Solutions as a watcher. Solution Managers can create, edit, and delete all Solutions and manage all available nodes in them.

  • Solution Manager requires full access to the other participating tools: Automatizer — on, with Personal and Space processes; Email Sequence — on, with Personal and Space sequences; Online Forms — on, with management of online forms and form responses; Approval Processes — on, with Approval process manager. When enabling Solution Manager, a pop-up lists the tools that need to be updated, and Update corrects all listed settings at once.

  • If a role with Solution Manager is later saved with a lower permission level on one of these tools, a warning asks the administrator to confirm, as the change may break that role’s Solution management rights.

Tags and audit log

  • Solutions support tags. A new Solutions tab in Common Lists manages them, with the same behavior as other tag lists — create, delete, activate/deactivate, and filter. No default tags are provided.

  • Solution create, update, and delete events are recorded in the Administration audit log.

Solutions Management

Card view

  • The Solutions tab lists all Solutions as cards, sorted by name. The number of cards per row adapts to the width of the view.

  • Each card shows a preview of the last saved canvas, the number of nodes used, the Solution name, its description, and its status.

  • Status is Active when all nodes are active, Partial when at least one node is not active, and Inactive when no node is active.

  • Selecting a card opens the details sidebar.

Main menu actions and toolbar

  • Main menu actions available: Create New and Copy. A copy keeps the original name and description, with - Copy added to the name, and the current user becomes its owner.

  • Copying duplicates the visualization only — it never creates copies of the underlying processes, custom entities, or fields. Installing a template is the operation that creates records.

  • The toolbar provides the record counter, a Refresh button, full-text search over Solution name and description, and a Quick Filter with the fields Name, Owner, Status, and Tag.

Creating a Solution

  • The Create New Solution dialogue offers From Template and From Scratch.

  • From Scratch opens the Create Solution dialogue; clicking Create opens an empty Solution Editor.

  • From Template opens a template chooser with search, listing each template’s number of nodes, number of wizard steps, name, and description. Selecting a template and clicking Continue starts the guided setup.

Solution details sidebar

Selecting a Solution opens a sidebar with three tabs — Overview, Nodes, and Activity Logs — and a Refresh button that reloads the selected tab.

  • Overview — actions Open, Properties (name, description, and ownership), Copy, Delete, and Activate / Deactivate combined with the status indicator. Deleting a Solution removes the Solution after confirmation; nothing inside it is removed. The tab also shows the description, an editable Tags field, the aggregated statistics of all active nodes, and a period selector: Last 7 days, Last 30 days, Last 90 days, or All.

  • Nodes — lists the nodes in the Solution the user has full access to, with each node’s type, custom name, and — for active nodes — status. Clicking an item opens the node.

  • Activity Logs — shows the combined activity of Automatizer process runs, Email Sequence runs, and Online Form submissions, newest first, with its own period selector. Each entry respects the visibility rules of its own tool, and the record name opens the item in a new tab. Logs of features disabled in the Automation Hub are hidden.

Statistics

  • Statistics combine the output of all active nodes — the nodes that work with records: Automatizer, Online Forms, and Email Sequences.

  • Refresh All Statistics reloads the statistics and available nodes. A period selector filters by created date: Last 7 days, Last 30 days, Last 90 days, or All.

  • The Total section shows Created Records, Updated Records, Linked Records, Archived Records, Emails Sent, and Form Responses across every active node.

  • The Active Nodes section lists each node with its own metrics: Automatizer — created, updated, linked, and archived records, plus emails sent; Email Sequences — created records, emails sent, and enrolled and unenrolled recipients; Online Forms — created and updated records, plus created responses.

  • Deleted nodes are still listed with their statistics. Nodes the user has lost access to are not listed.

  • In this release, AI Fields Updated and Webhooks Sent are not counted, and Linked Records for Online Form nodes always reads 0.

Solutions Library and Guided Setup

Solutions Library

  • The Solutions Library tab shows the available templates as cards, sorted by name, with full-text search across template name, description, and the nodes each template uses, and a Quick Filter by Name and Nodes.

  • Each template card shows the name, the description, the nodes it uses, the number of wizard steps, and a Start Building button that launches the guided setup.

  • 19 pre-built templates are included: Trade Show Lead Capture, Webinar Pipeline, Lead Nurturing Campaign, New Client Onboarding, Customer NPS Program, Contract Renewal Program, Customer Support Loop, Customer Referral Program, Event Management, Account-Based Marketing, Deal Velocity Accelerator, Cross-Sell & Upsell Engine, Competitive Intelligence Tracker, Territory Management Setup, Channel Sales Enablement, Prospecting Sequences, Win-Back Campaign, Account Growth & Upsell, and Renewal Acceleration.

  • Every wizard step includes a template-specific What does this node do? explanation.

Guided setup

  • Choosing a template — from the Library, the Create Solution dialogue, or the Plus menu — opens the Editor and starts the Guided Setup.

  • While the guide runs, the canvas is faded and not clickable, and the zoom controls stay available. The stepper shows the current step and can be dragged to a different place on screen.

  • Step 1 asks for the Solution Name (required, pre-filled from the template) and Description (optional, pre-filled, with AI-assisted generation and voice dictation).

  • Admin prerequisites are shown as read-only previews grouped per entity. They are added to the CRM automatically with no setup needed.

  • One step is generated for each configurable node type in the template:

  • Online Form — campaign end date and time, maximum number of responses, and notification recipients (Form Owner, Record Owner, and custom recipients).

  • Automatizer — the email account used for outgoing automated emails, and the owner applied by the Change Ownership action. Both are required, with one block per process.

  • Email Sequence — the active period (start and end date).

  • Report — the report owner (required) and scheduled recipients.

  • The Summary step, titled Almost Done, shows every value entered in the previous steps, grouped per node, with Back, Create, and Cancel.

Creating the Solution

  • Create creates all nodes and connects them on the canvas according to the template in a single all-or-nothing operation, with the progress message Creating your solution….

  • Tools are created deactivated, so nothing runs until the user activates the nodes as the final step.

  • If creation fails, Reload returns to the last wizard step with all entered settings preserved, so the attempt can be repeated.

  • If the template uses a feature the space has not purchased, a feature promotion pop-up is shown.

  • The same template can be installed more than once. Custom fields created by a previous install are reused when they still match by name and type on the same entity. Fields the user created manually are never reused, and a field the user renamed or deleted leads to a new field being created.

  • Email Sequence recipient enrollment and scheduled Report/Dashboard delivery recipients are accepted by the wizard but are not applied during installation — these are set up on the node after the Solution is created.

Solution Editor

The Solution Editor is the visual canvas where users build, inspect, and manage a Solution. It has three areas: the top bar, the left nodes panel, and the canvas.

Top bar

  • Shows the Solution title and description; the cog icon opens the Solution edit dialogue.

  • The Activate/Deactivate button doubles as the status indicator — Active, Partial, or Inactive — and activates or deactivates every node in the Solution after a confirmation.

  • Statistics opens the statistics dialogue, Publish saves the changes, Refresh reloads the canvas view, and Close leaves the editor. Re-scan Connections is available in the overflow menu.

Left nodes panel

  • Lists the node types that can be placed manually, with a category dropdown — All, Elements, CRM Prerequisites, and Features & Tools — and a search bar.

  • CRM Prerequisites: Dashboard, Navigator, Profile, Report, Target, Forecast, and Inbox. The Inbox node is read-only and is offered so its connections can be shown. Features & Tools: Online Form, Automatizer, and Email Sequence. Elements: Group.

  • Nodes are dragged onto the canvas, where valid drop zones are highlighted. A placed node lets the user pick an existing record — for example, a Report node lets the user pick a report and configure its owner and scheduled recipients. Pickers list only records the user can see that are not already used in the Solution.

  • Items belonging to a feature the space has not purchased are shown in an Upgrade state and cannot be dragged onto the canvas; clicking one opens the feature promotion.

  • Dependency nodes such as custom fields, tags, and email templates are not offered in the panel — the system adds them automatically when needed.

Canvas

  • Nodes can be moved, selected, and opened — with sufficient permissions, the user can open the item a node represents.

  • Each node card shows its type icon, its node type, and a custom name. The name is pre-filled by the system and can be renamed inline at any time.

  • Nodes can be resized with a dragger that is always visible, so a card can be enlarged until its full text is readable.

  • Connections are drawn as curves and take their color from the source node.

  • Zoom controls: Fit View, Fit On Screen, Zoom In, and Zoom Out. Fit View is applied every time a Solution is opened.

  • Fit On Screen tidies and fits the Solution in one click: it separates overlapping nodes with consistent spacing, then zooms and pans so the whole Solution sits inside the visible canvas. Connections stay attached, zoom is capped at 100%, and clicking again on a tidy Solution changes nothing.

  • A Detail level slider sets how much is shown: All (every node, the default), Flow (CRM and Tools nodes), or Core (Tools nodes only). In this release, the selection applies to the current view and is not saved on the Solution.

  • A Play/Stop Animation option is available. Animations can significantly reduce performance, especially in Solutions with a large number of nodes.

Node statuses

  • In Solution is the working state. Active and Inactive reflect the live state of a tool node, and an active node can show orange or red to mirror the current state of the process or sequence behind it.

  • Deleted appears when the underlying record is deleted; an editable node can still have its selection changed or be removed.

  • Unavailable appears when the user loses permission to the item, or when the feature is deactivated in the Automation Hub. Such a card can only be removed.

  • Hidden shows the node muted until the user unhides everything.

  • Upgrade marks a node whose feature has not been purchased; clicking it opens the feature promotion pop-up.

  • Unset marks a placed node whose record has not been chosen yet. Once a record is selected and confirmed, the scan starts.

Node menu

  • Rescan (all nodes) re-checks the node and its nearest connections.

  • Replace (editable nodes) changes the selected process, sequence, or form. Valid connections are kept with updated labels, and invalid ones are removed.

  • Remove removes the node and its connections. A removed item is never added back to the Solution automatically.

  • Convert To Editable converts a supported auto-added node into an editable one. This cannot be undone.

  • Where more than three indirect connections are found, the card shows a badge instead of adding them. Clicking it opens a dialogue listing the connections found, where the user selects which nodes to connect.

Connections and scanning

  • After a node is configured, the system scans the space and builds the picture around it. All connection types except Feeds are created automatically; Feeds connections are drawn by the user.

  • Triggers (direct) — for Automatizer, Email Sequences, and Online Forms, the system follows what triggers the node and what the node triggers. Up to five found nodes are added automatically; when more are found, the user chooses from a node picker. Direct connections are discovered one step away from the scanned node — running Rescan from neighbouring nodes extends the picture further.

  • Triggers (indirect) — connections made through record events (create, update) to Automatizer processes.

  • Is Used In — prerequisites and data actually used by a node.

  • Reference — the two-way relation between Dashboard and Navigator nodes.

  • Manual connections — drawn by the user and kept for as long as both nodes exist. They can be removed at any time.

  • Only non-default references are added, so stock and system defaults do not clutter the picture. For custom entities, every referenced field counts, including system fields.

  • Scanning runs when a record selection is confirmed in a node, when Rescan is used, and when a Solution is opened. Refresh does not rescan — it re-checks node states and connections. Auto-added connections that no longer exist in the configuration are removed on the next refresh or re-open.

  • Each connection type has its own line style: Feeds and Triggers (direct) are solid and animated, Triggers (indirect) are dashed and animated, and Is Used In and Reference are dotted.

  • A progress overlay describes what the scan is doing, and reports the number of nodes found on completion.

Right sidebars

  • Clicking an Entity Settings node opens a {Entity name} Settings sidebar listing the custom fields of that entity used in the Solution and, for process entities, the Lead, Quote, and Pipeline processes used. Clicking an item opens the corresponding admin setting. Hovering a field highlights the connections it takes part in.

  • Clicking an Automatizer, Online Form, or Email Sequence node opens that feature’s existing sidebar.

  • Clicking a manual connection opens a sidebar with Remove, an editable Label, and a color picker. Other connections open a sidebar with the label and color picker only.

Groups

  • A Group is a labeled, colored container that bundles related nodes on the canvas. It is available in the left panel under Elements.

  • A group can be selected, renamed, moved, and resized. Dragging a node over a group shows a Drop here zone; releasing adds the node to the group.

  • Clicking a group opens its sidebar with the group name, a color picker, the list of nodes inside it, and Delete. Deleting asks whether to delete the Group only or the Group & Nodes.

Changes in Other Features

  • Automatizer, Email Sequences, Online Forms, and Email Templates gain a read-only Solutions field listing every Solution the record is part of. Like the Tags field, it can be added as a grid column, sorted, grouped, and filtered.

  • Automatizer, Email Sequences, and Online Forms also gain an Available in Solution section in their right sidebar, listing the Solutions the record belongs to. Clicking an entry opens the Solution.

  • When one of these tools is opened from a Solution, a go back button is shown so the user can return to the Solution.

Not Included in This Release 6.5.0

  • Approval Process and Appointment Scheduler nodes.

  • The Product Launch Campaign template, which depends on node types outside the current scope.
